Accessing User Management
Navigate to Admin > Users to add, edit, or deactivate accounts. Password resets are also managed here.
Adding a New User Click + Add. Required fields marked with *.

Department | Important for technical staff. Determines which tickets and notifications the user receives. Configure under: Glossary > Tickets > Company Departments. Internal roles only — not available for tenants or customers |
Role * | Defines permissions. External roles (Tenant, External Service) require linking the user to a Company/Partner |
Site (Komplex) * | Properties/sites this user can access |
Login * | Must be unique. Typically the user's email address |
Sign In: YES / NO | YES = active account; NO = account exists but login is disabled |
Generate random password | If enabled, system emails the user a password. If disabled, administrator sets one manually |
Send notification | Whether to send an account creation email |
User Roles
Admin — full system access
Board — management view, read-only
Coordinator — object coordinator; can close tickets
Technician — technical executor; can mark tickets as Completed but not Closed
Customer — tenant or client; external access to tickets they raised
Partner — external service provider
Editing user data
Go to Admin > Users, search for the user and click the pencil icon. You can then edit the following fields:
First and last name
Email
Phone number and mobile phone number — add, edit or remove
Information — additional notes about the user
Assigned complexes — add or remove
Login — for example if the user's email address has changed
Assigned department — add, change or remove
Password never expires — Yes / No
Changing a user's role
A user's role controls their permissions and is intentionally separated from the standard edit dialog.
Go to Admin > Permissions > User/ Roles.
Find the user whose role you want to change.
Select the new role from the list.
Save the change.
Important: After a role change the user must sign in again for the new permissions to take effect. Also check that the user still has the right complexes and, if applicable, a department assigned after the role change.
Deactivating a User
SINGU FM does not permanently delete users (to preserve historical records). To deactivate: find the user, click the pencil icon, set Active to NO.
Checking Account Status
The status columns in Admin > Users show three flags per user:
Active — X means the account is deactivated
Sign In — X means the user has locked their account (5 failed login attempts)
Account Activated? — X means the user has not yet activated via the welcome email
Unlocking an Account / Resetting a Password
Users can use "Forgot Password" on the login page. If an account is locked (5 failed attempts), an administrator can unlock it via Admin > Users > key icon. Two options: send a password reset email (also unlocks automatically), or set a password manually.
