Managing users: add, edit, deactivate, unlock

How administrators create new user accounts in Singu, edit and deactivate existing accounts, check account status and reset passwords.

Managing users: add, edit, deactivate, unlock

Under Admin > Users you can add, edit and deactivate user accounts in Singu. You can also reset passwords for users who have forgotten their credentials or whose account has been locked.

Adding a user

  1. Go to Admin > Users.

  2. Click + Add.

A form opens. Fields marked with * are mandatory:

  • First name *

  • Last name *

  • Email *

  • Phone number

  • Mobile phone number

  • Position

  • Information (additional details about the user)

  • Language

  • Country

Department – an important field for technical staff. Assigning a user to a department gives them:

  • Access to tickets handled by that department.

  • Email notifications when a ticket is created or updated.

The field is optional and only available for internal roles (not for tenants or external services). Departments are configured under Master data > Tickets > Company departments.

Role * – defines the user's permissions:

  • External roles: Tenant, External service. After selecting one, an additional mandatory field Tenant/Partner appears, where the user is linked to a company.

  • Internal roles: all other roles.

Complex * – properties the user needs access to.

Login * – must be unique in the system, usually the email address.

Login enabled: YES / NO:

  • YES – the user has an active account and can sign in.

  • NO – the user cannot sign in.

Generate a new random password

  • Enabled – the system generates a random password and sends it by email.

  • Disabled – an administrator sets a temporary password manually.

  • Notification – controls whether the user receives an automatic email about the account creation.

Tip: Users can also be added directly from the Company/Tenant or External service card.

Editing a user

  1. Open Admin > Users.

  2. Find the user via the search bar.

  3. Click the pencil icon (Edit).

Deactivating a user account

Singu does not permanently delete users (for audit-history reasons), but accounts can be deactivated.

  1. Open Admin > Users.

  2. Find the user.

  3. Click the pencil icon.

  4. Set Active to NO.

Checking account status

In Admin > Users you can see at a glance:

  • ActiveX = account deactivated.

  • Login enabledX = the user has locked their account.

  • Account activated?X = the user has not yet activated their account.

Unlocking an account / resetting a password

Users who have forgotten their password can use the Forgot password feature on the login page.

If an account gets locked after 5 failed password attempts, an administrator can unlock it as follows:

  1. Open Admin > Users.

  2. Find the user.

  3. Click the key icon.

The Reset password dialog appears:

  • Reset password – the user receives an email to create a new password.

  • Set your own password – enter a password manually.
